Accounting and Information Systems- In house, state-of-the-art computerized system and customized software producing clear and easy to understand financial statements and reports, monitoring delinquencies and systematically generating delinquency and violation letters in a timely manner.
Cash Flow System- Each community association has an established operating and reserve bank account. Property Management Professionals is able to draw on the operating account up to an amount determined by the Board of Directors. Property Management Professionals has no ability to withdraw funds from the reserve account without board authorization. This system allows the board to have total control of the association funds.
Proactive Management Practices- Our team minimizes conflict by proactively anticipating future problems. Waiting for problems to arise reduces efficiencies and threatens to undermine homeowner and board member confidence.
Board Meeting Attendance- Board meetings will be attended by one of our friendly and knowledgeable community managers, assigned exclusively to your community. Unlike other management companies, we will conduct board meetings as needed, even on weekends if necessary, and never at an additional charge to the Association.
Weekly Property Inspections- Weekly property inspections are performed by your community manager and are essential to ensure the value and integrity of the neighborhood is preserved. Violation letters are accompanied by digital pictures of the infraction to mitigate against homeowner confusion and frustration.
CC&R and Bylaw Enforcement- Enforcing the CC&R’s and Bylaws is something Property Management Professionals takes very seriously. Our enforcement techniques are effective while not being intrusive to homeowners. Rather than implementing a strictly authoritative approach, Property Management Professionals seeks to impose a friendlier and more personal approach by making contact with the homeowner to explain the problem and discuss possible resolutions. Homeowners at our communities appreciate this approach and we have found that it contributes to better adherence to community rules and regulations.
Extraordinary Customer Care- Customer service is our number one priority at Property Management Professionals. Our team works hand-in-hand with homeowners to answer questions and concerns in a timely manner. Our proprietary systems and tools provide our on-site call center team with quick and reliable access to information about each community enabling our customer care representative to answer homeowner concerns promptly.
Vetted Vendors- Assembling a strong team of vendors mitigates many potential issues and is a critical component to the success of a well managed community. Our management team will assist the Board of Directors in determining the scopes of work and obtaining proposals from multiple vendors to compare and reduce costs.
Transition Team- Changing management companies can be a daunting task for board members and homeowners. We have developed a Transition Team to help make this process as seamless as possible. From the transfer of accounting records to vendors, our team of skilled and knowledgeable representatives will ensure that this process is completed in a smooth and efficient manner.
